Give the moving people a floor plan with the allotted furniture placements. Work with your IT department to make sure all data and other valuables are ready before the moving. Prepare for additional parking to help for smoother loading and unloading.
Communication
Communicate important bits of information to the movers as well as to your workers. The office staff should know what to pack and how, and what their role should be on the day of moving. The packing needs to be up to the mark to allow for smooth loading and unloading.
Packing
Packing takes a lot of time and can be quite a challenge. Follow the plan that you had for the packing. See to it that the staff follows the given instructions. Assign each person a different packing duty. All boxes should be numbered; hard drives, disks and all other documents should be properly labeled. The packing should be done nicely and carefully. Small items or single pieces run the risk of getting misplaced. All cabinets should be emptied.
Preparing the new office
You should visit the new office to make sure that it is ready for moving day. Post signs wherever necessary. It will make it easier for the movers to tally it with the marked floor plan. Use tapes or ribbons and markers to mark and label each area. Check the parking area to see that large trucks can maneuver in and out of the parking space easily. Get any ramps ready if needed for the moving.
Moving
On the day of the move, you may want to have staff members present at both the locations. Someone at the old office will see that everything has been loaded properly and someone at the new office should see that everything has arrived properly. Be ready to instruct and answer queries if needed. Make sure that the numbered desks and cabinets and other things have been unloaded at the predetermined locations within the office.
